Science to the Station
Privacy
Policy.
Effective date: October 16, 2026
Last updated: October 29, 2026
This Privacy Policy explains what information Science Alliance Inc. ("Science Alliance," "we," "us" or "our") collects through www.science2station.org (the "Site"), how we use and share it, and the choices you have. Science Alliance is a Kansas nonprofit corporation and 501(c)(3) tax-exempt organization that runs Science to the Station ("S2S") as one of its programs. This policy works together with our Terms of Use, which explain the rules for using the Site.
The short version (this summary is for convenience; the full policy below controls):
- You can read and download everything on the Site without giving us your name.
- We collect what you choose to send us (forms, orders, sign-ups) and basic usage data from analytics tools.
- We never sell, rent or trade your information, and we don't use it for targeted advertising.
- Searches that find no S2S resource are logged without your name to help us decide what to translate next.
- Please don't send health details through our forms or search boxes.
- Questions or requests? Email info@science-alliance.org.
1. What this policy covers
This policy covers information collected through the Site, including its forms, store, Re-Search tool and other interactive tools. Some services we link to collect information under their own privacy policies, and those policies apply to them:
- Member accounts, workgroups and event registration run on Member365 (sciencealliance.member365.org).
- Conference tools such as the event app (Whova) and the hotel booking system (Passkey).
- Research studies and surveys, which are governed by their own informed consent documents (see section 10).
- Outside websites we link to, such as PubMed, YouTube, social media and partner sites.
2. Information you give us
- Forms. When you contact us, request a speaker, ask about supporting S2S or report an error, we collect what you enter, usually your name, email address, organization, role and message. Form submissions go to info@science-alliance.org.
- Newsletter sign-up. Your name and email address, and any other details the form asks for.
- Store orders. Your name, email, shipping and billing address, and order details. Payments are handled by our commerce and payment providers. We don't receive or store full card numbers.
- Gifts. Contact details and gift information needed to process a gift and send your receipt.
- Fire camp listings. If you add or update a camp with our camp form (a Google Form), we collect the camp details, the names, roles, email addresses and phone numbers of two camp contacts, and your name and email address. We publish only the camp details. We use the contact details only to confirm or update the listing, about once a year, and never publish them. Google Forms and Google Sheets store this information for us.
- Stories, quotes and photos. Anything you share with us for possible publication. We ask your permission before we publish your name, words or image (see our Terms of Use, section 8).
Please don't send sensitive information through our forms or search boxes, including medical records, details of your own or anyone else's health conditions, Social Security numbers or confidential department information. The Site is not built to receive it. If you send it anyway, we will limit its use to responding to you and delete what we don't need.
3. Information collected automatically
Like most websites, the Site collects some information automatically when you visit, such as your IP address, browser and device type, approximate location (city or region), the pages you view, how long you stay and the site that referred you. We use these tools to do it:
- Squarespace, which hosts the Site and uses cookies to run it, keep it secure, remember your cart and measure visits.
- Google Analytics, which tells us which pages and resources people use.
- Metricool, which helps us measure how visitors arrive from our social media and newsletter.
- POWR, a website add-on service whose script loads on every page so add-on features (such as forms or pop-ups) can work. It receives your IP address and basic browser information when a page loads.
These providers may set cookies or similar technologies and receive your IP address under their own privacy policies. We use the results in aggregate to understand what is useful and improve the Site. We don't use them to identify you, and we don't run targeted advertising.
4. Re-Search and interactive tools
- Running a search. When you search in Re-Search, your browser sends your search words to PubMed (run by the U.S. National Library of Medicine) and, to find free full-text versions of studies, to Unpaywall. Those services receive your search words and your IP address under their own privacy policies.
- Searches with no S2S result. If a search turns up no S2S resource, we record the search words, the date and a random code stored in your browser (so we can count how many different people search for a topic without knowing who they are). This is saved in a Google spreadsheet and emailed to our team through a form service called FormSubmit. We do not record your name, email address or other contact details with it.
- How we use those searches. To decide what to translate next. When at least five different visitors search for the same topic, the topic may appear on the Site (for example, as "Coming to S2S"). Only the topic is shown, never anything about who searched. Topics drop off that public list after a year without searches.
- Interactive tools work in your browser. They don't save what you enter or send it to us.
- You can clear the random search code at any time by clearing your browser's site data.
5. Videos, fonts and other embedded content
Some pages show content from other services, such as YouTube videos (in privacy-enhanced mode where available), Google Fonts and social media links. When a page loads that content, the provider may receive your IP address and set cookies under its own privacy policy.
6. How we use information
- To answer your questions and requests, including speaker and partnership inquiries.
- To fill and ship store orders and handle problems with them.
- To process gifts, send receipts and keep the records the law requires.
- To run events, including registration, check-in and event updates.
- To send our newsletter and updates, if you signed up.
- To understand how the Site is used, fix problems and decide what resources to create.
- To keep the Site secure, prevent misuse and enforce our Terms of Use.
- To comply with the law.
Research recruitment and reporting. Sharing research is part of our work, so the Site regularly promotes studies and invites people to take part. We don't treat your visits, searches or form submissions as research data. Your information becomes part of a study only when you knowingly choose to take part and agree to that study's consent. We may also report aggregate, de-identified information about how the Site is used (for example, the most-searched topics) in reports, presentations or publications about our work. It never identifies you.
7. Email
We send newsletters and updates only to people who sign up or ask for them. Every newsletter has an unsubscribe link, or you can email us. Even if you unsubscribe, we may still send messages about an order, gift, registration or request you made.
8. How we share information
We never sell, rent or trade your personal information. We share it only in these situations:
- Service providers that help us run the Site and our programs, such as Squarespace (hosting, forms and store), our payment processors, Google (email, forms, spreadsheets, analytics, fonts and video), Metricool, POWR (website add-ons), FormSubmit, Member365 and our email and event tools. They may use the information only to provide services to us.
- With a study team, at your request. If you use a form on the Site to say you're interested in a study, we share the contact details you provide with that study's research team so they can follow up. What happens after that is governed by the study's consent process.
- With your permission, for example when you ask us to connect you with a speaker, researcher or partner organization. We don't give your contact information to partners, funders or sponsors without your permission.
- For legal reasons, when required by law or legal process, or to protect the safety, rights or property of our community, Science Alliance or others.
- If our organization changes, such as a merger or transfer of the S2S program to another nonprofit, in which case this policy will continue to protect your information.
9. Stories, quotes and event photos
We publish a person's name, words or photo only with their permission, and only in the way we described when we asked. You can ask us to stop future use at any time. Our events are photographed and recorded, as explained in our Terms of Use (section 13). If you'd rather not be featured, tell staff at check-in, or email us afterward and we will stop using images of you going forward where we reasonably can.
10. Member accounts, events and research studies
- Member accounts and event registration are hosted on Member365 and governed by its privacy policy. We receive the information you provide there, such as your name, contact details, organization, role and registration choices, and use it as described in this policy. Information you post in a workgroup can be seen by other members of that group.
- Research studies collect information under their own informed consent documents and ethics review, not this policy. The consent document explains what a study collects, how it is protected and who can see it. For partner studies, the partner's research team is responsible for the data.
- Survey links may lead to outside survey platforms with their own privacy policies.
11. Young people
The Site is intended for adults. It is not directed to children under 13, and we don't knowingly collect personal information from them. If you believe a child under 13 has sent us personal information, email us and we will delete it. Some programs, such as Fire Camps, serve younger participants; for those programs, a parent or guardian handles registration and provides any needed information and consent.
12. Your choices and requests
- Access, correct or delete. Email info@science-alliance.org to ask what personal information we have about you, to correct it, or to delete it. We honor these requests for everyone, wherever you live, except where we must keep records by law (for example, gift and tax records).
- Email. Use the unsubscribe link or email us.
- Cookies and analytics. You can block or delete cookies in your browser settings, and you can opt out of Google Analytics with Google's browser add-on. Blocking cookies may affect some features, such as the store cart.
- Member accounts. Update your profile in Member365 or ask us for help.
We will respond to requests within 45 days and may need to confirm your identity first.
13. Security
We use reasonable safeguards, including the security measures of our hosting and service providers, to protect information. No website or email system is perfectly secure, so we can't guarantee security, which is one more reason not to send sensitive information through our forms.
14. How long we keep information
We keep personal information only as long as we need it for the purposes in this policy, then delete it or remove what identifies you. Gift, order and tax records are kept as long as the law requires. Re-Search logs are reviewed at least once a year, and entries we no longer need for planning are deleted.
15. Visitors outside the United States
Science Alliance is based in the United States, and the Site and our service providers store information in the United States. If you visit from another country, your information will be handled in the United States under this policy.
16. Changes to this policy
We may update this policy as the Site and our programs change. We will post the new version here with a new effective date, and for significant changes we will add a notice on the Site.
